My client, a market leader in supplying the Irish Polymer Industry for over 30 years, is currently seeking to hire an Administrator on a permanent basis, based in Mullingar.
The role:
Oversee the maintenance of the Mullingar office, ensuring it meets a high standard. Manage the on-site contract cleaning team (three mornings a week) to ensure the premises remain consistently clean. Coordinate periodic cleaning and maintenance of external grounds with an external contractor as necessary.
Organize and coordinate site meetings as requested by the Managing Director and General Manager. Collaborate with customers to ensure they have an exceptional experience when visiting the Mullingar location.
Manage and coordinate catering services on-site for customer or supplier events as needed, ensuring everything runs smoothly.
Handle bookings and negotiate pricing with hotels across Ireland. Service Engineers will reach out to make hotel reservations, and you will assist with the arrangements as required.
Manage the scheduling and upkeep of Service Engineers’ vehicles, ensuring that servicing, maintenance, and DOE testing are up to date for all vehicles in operation.
Ensure that all team training records are up to date and that all relevant documentation is uploaded accordingly.
Coordinate and schedule safety inspections for fire alarms, fire extinguishers, insurance companies, etc., and ensure that all related documentation remains current.
Oversee and manage the pest control contractor and maintain the corresponding records.
Ensure that all office-related bills (phones, internet, electricity, safety inspectors, cleaners, caterers, etc.) are recorded and forwarded to the finance team for payment.
Place purchase orders with relevant contractors as needed.
Coordinate the purchase of team workwear as required, and engage in pricing negotiations with suppliers to ensure the best possible deals.
Qualifications & Experience:
A business administration or project coordination qualification is preferred.
Proficiency in MS Office, including Excel and Word, is essential.
Experience with the SAGE Accounting Package is advantageous.
