Executive Assistant

Executive Assistant required with 5 plus years experience providing administration support to senior management teams in a multinational environment. Excellent opportunity to join a dynamic growing engineering company in Galway.


Responsibilities:

  • Provide direct administrative support as needed including scheduling appointments, meetings and events, monitoring staff calendars, booking travel, maintaining physical and digital filing systems, mailing and shipping letters and packages, updating company databases, administering company management systems and other tasks as directed.

  • Oversee the day-to-day activities of the office and ensure that all administrative systems are working smoothly.

  • Oversee office interactions for visitors and staff, responding to requests and questions.

  • Lead event management and logistics for meetings, workshops, trade fair conferences, etc including liaising with event organisers and outsourced marketing providers. Undertake assigned duties in relation to, human resources, inventories, certification activities, planning and scheduling, data entry and analysis, data management and filing, data protection, marketing, event planning, staff trips and general compliance matters.

  • Prepare reusable company templates for a broad range of applications in MS Word, Excel, PowerPoint and other MS Office applications.

  • Oversee and maintain office equipment for uninterrupted function, identify and fulfil office supply needs, maintain and manage vendors, and coordinate deliveries as required.

  • Assist with the processing of staff expense claims on a monthly basis.

Requirements:

  • A minimum of 5 years of experience in an Executive Assistant/Office Management role preferred.

  • Level 7 or 8 degree in a relevant subject area/or professional qualification and/or relevant experience in a relative discipline (construction, accountancy etc.).

  • Experience of team working, including in cross-functional teams.

  • Experience of dealing with confidential matters and exercising discretion and good judgment while working with sensitive and confidential documentation.

  • Experience using QuickBooks financial management platform (or other similar platform).

  • Proven event management and organisational skills.

  • Ability to meet tight deadlines in a busy environment.

  • Demonstrated critical thinking skills and good with numbers and arithmetic.

  • Understanding of company governance structures.

  • Proven IT skills. Evidence of use of and proficiency in Microsoft Office Suite including, Word, Excel, Outlook, PowerPoint, etc.

  • Project management skills, including the timely delivery of tasks and projects.
